Security
No data transmission over the Internet can be guaranteed to be 100% secure. Though the Gane Trust cannot guarantee that personal or sensitive information remains confidential during transmission over the internet, all emails will be monitored through appropriate controls. We store the information we collect from you online on databases protected through access controls, firewall technology and other appropriate security measures. These cannot prevent all loss, misuse or alteration of personal information and we are not responsible for any damage or liability relating to such incidents.
Data Policy
The Gane Trust is a charity making grants. We act as a Data Controller. The purpose of collecting data is to enable the Trust to make grants in accordance with its objects.
In order to make grants, the Trust requires applicants to provide data including their name, address, contact details and information about their status to enable the Trust to evaluate applications. This is necessary to ensure applicants meet the criteria to be considered, and to evaluate competing applications.
Rights of Applicants
You are asked for your consent on the application form.
If you do not consent to the Trust holding or processing that personal data, we may be unable to process your application as we may be unable to evaluate your application against the criteria and against other applicants.
If you do not provide all of the personal data requested on the form, your application will still be considered, if you provide enough information to show you meet the eligibility criteria.
Only relevant data which will inform the trustee decision is required. All data is held securely, by the Secretary. They are kept for 7 years from the date your application is determined, in case there is any query about the application or our accounts. The application form requests your consent to the data supplied to support your application being held by the trust for 7 years from the date of a decision on your award if you are successful and 1 year if you are not successful, so that we can demonstrate our legal compliance in managing the trust assets.
In determining the data we require in applications we have considered the minimum we need. We ensure your data is not disclosed to any third part, except any statutory body with a legal power to require us to do so.
All personal data is securely disposed of after that date.
This data is not shared with any third party.
Right to Access: You have the right to ask to confirm whether we hold personal data on you. to request a copy, ask where it is stored and for how long.
Right to Rectify: You have the right to ask us to correct your personal information if it is found to be inaccurate or out of date, by sending a request to secretary@ganetrust.org.uk
We review our procedures annually.
Right to be Forgotten: You have the right to ask us to erase your personal information, providing this is no longer needed for the purpose for which it was collected, if your consent is lawfully withdrawn or of we use your data unlawfully or for different purposes.
Withdraw consent: You have the right to withdraw your consent to the Processing of your information at any time.
Restriction: You have the right to restrict us from processing your personal information.
